Best Booking Software for Massage Therapists in 2026
Massage practices need intake, SOAP notes, long appointments, packages, and deposits. Here is what the major platforms charge in 2026, where each falls short, and where Primzy fits and where it does not.

Quick answer: For SOAP notes, insurance billing, and body-chart intake forms, choose a massage-specific tool: MassageBook, ClinicSense, Noterro, or Jane. For booking, deposits, reminders, and client notes without a percentage of your sales, Primzy is $40 a month flat, and it has e-signed intake forms attached to a service, though it does not offer SOAP templates or insurance billing.
Updated October 2026. Prices change often, so confirm current pricing on each vendor's site before you decide.
A massage appointment is a long, quiet hour of trust. A new client fills out a health history before they get on the table. You write down what you found when they get off. In between, you hold a block of time that nobody else can fill if the client does not show.
That is why the software choice splits in two. Some tools are built around clinical records. Others are built around booking, payments, and marketing. We make one of the second kind, so we will tell you plainly where each wins, and where we are not the right answer.
What Massage Therapists Actually Need
The U.S. Bureau of Labor Statistics counted about 155,400 massage therapist jobs in 2025, with 36% of workers self-employed and median pay of $58,450 a year as of May 2025 (BLS, "Massage Therapists," updated August 27, 2026). AMTA's 2026 research report puts the therapist's own office (40%) and the client's home (37%) among the most common work settings (AMTA, "Massage Industry Fact Sheet"). Most of you run a business of one, so the bill and the paperwork both land on you.
Intake and health history. MassageBook lists customizable intake forms with annotated anatomical drawings and revision tracking (MassageBook, LLM info page, vendor-sourced). ClinicSense includes intake forms on every plan (ClinicSense pricing, vendor-sourced).
SOAP and treatment notes. ClinicSense and Noterro include SOAP notes on their entry plans, and MassageBook adds premium SOAP notes on its Practice plan (Noterro support center, April 24, 2026; GetApp, MassageBook pricing, September 2026).
Packages and memberships. Jane puts packages and memberships on its $99 Thrive plan (Jane pricing). Noterro puts them on Max, and ClinicSense lists packages on Standard.
Long appointments and rooms. Sixty, ninety, and one hundred twenty minutes, plus time to reset a room. MassageBook's Clinic tier lists smart room assignment and couples bookings (MassageBook pricing, vendor-sourced).
Deposits. A no-show on a long session is a lost hour.
Insurance billing. Jane sells it as a $20 a month add-on, Noterro includes claims on Max, and ClinicSense lists TELUS Health eClaims on Standard. Most general booking tools do not offer it, and neither does Primzy.
Where the Big Platforms Let Massage Therapists Down
A fee that moves without a notice
Trustpilot showed MassageBook at 1.9 out of 5 from 26 reviews when we last checked in October 2026 (Trustpilot blocks automated re-checks, so confirm the current score there). A few of those reviews praise individual therapists rather than the software, so read the page yourself. One reviewer wrote:
"Doubled my payment for my monthly fee without notification or justification."
Source: Trustpilot, MassageBook reviews, May 27, 2026. That is one complaint and one side of the story. GetApp reviewers include owners who praise MassageBook's price and support (GetApp, MassageBook pricing and reviews, September 2026).
Price creep shows up elsewhere too. A ClinicSense reviewer wrote on Capterra in October 2026:
"There was quite a significant jump in price a year ago"
Source: Capterra, ClinicSense reviews, October 7, 2026. A Jane reviewer, in September 2026, said the value for money could be better, especially for smaller practices (Capterra, Jane reviews, September 22, 2026). ClinicSense and Jane both still hold 4.8 out of 5 on Capterra, so this is a pattern to plan for, not a verdict.
Your records and the exit door
Your treatment notes are the most valuable thing in the software. Ask how you get them out. A Noterro reviewer who is a registered massage therapist wrote in April 2025:
"Download of data for backup requires a support call."
Source: Capterra, Noterro reviews, April 28, 2025. That review is older than the rest, so confirm the current export process before you sign up. On any platform, test the export during your free trial.
Cost stacking
Vagaro lists $30 a month for one calendar, with $10 for each additional calendar (Vagaro pricing). A competitor's June 2026 breakdown prices Forms at $10 and Text Marketing at $20 a month (Koalendar, "Vagaro prices explained," updated June 26, 2026, a competitor's source). A Vagaro reviewer on Trustpilot in December 2025 wrote about the exit:
"Upon cancelling our subscription we were charged and additional $140"
Source: Trustpilot, Vagaro reviews, December 6, 2025. The charge was for a free card reader. Vagaro replied that the device carries a minimum-service-period requirement outlined at sign-up. Both sides are worth reading before you take any free hardware.
Jane stacks too. Its pricing page lists insurance billing at $20 a month plus $5 per additional full-time practitioner, AI Scribe at $15, and Group Telehealth at $15 (Jane pricing).
"HIPAA-compliant" is a claim to verify
Several tools market HIPAA-oriented features. ClinicSense's pricing page says:
"Yes, ClinicSense is HIPAA compliant."
MassageBook's site says "Yes, MassageBook is HIPAA compliant," and GlossGenius says you can create HIPAA-compliant intake forms (GlossGenius, forms and waivers). Vagaro's 2023 blog calls its dual-signature forms HIPAA-compliant (Vagaro, April 12, 2023). All of these are vendor statements, not independent audits. Keragon reports that Noterro describes itself as HIPAA compliant and offers a business associate agreement (Keragon, January 2026).
Whether HIPAA applies to you at all is a separate question. HHS says a health care provider is a covered entity only if it transmits information electronically in connection with a transaction for which HHS has adopted a standard (HHS, "Covered Entities and Business Associates"; HHS, "Are You a Covered Entity?"). A claim submitted electronically to an insurer is the classic example. This is not legal advice. If you bill insurance, or your state board or attorney says HIPAA applies, ask the vendor for the compliance statement and a signed business associate agreement, and ask which plan includes them. We make no HIPAA claim for Primzy.
Fees on new clients
Marketplace clients can cost you. Fresha charges 20% on a new marketplace client's first booking, with a $6 minimum, and returning clients are free (Fresha pricing, accessed October 12, 2026). Booksy's Boost is free to enable and takes a one-time 30% of a new client's first visit, up to $100 (Booksy pricing, accessed October 12, 2026).
What This Looks Like in Real Numbers
Assumptions: a solo therapist books 80 sessions a month at $100, so $8,000 in card payments, all taken in person. We price the plan that includes intake forms, notes, and text reminders, and apply each vendor's published in-person card rate where we found one. This excludes tax, tips, and promotional pricing.
| Platform | Plan assumed | Software fee | Card processing on $8,000 | Total |
|---|---|---|---|---|
| Primzy | Flat | $40 | $0 to you (the client pays card fees at checkout) | $40 |
| MassageBook | Practice | $59 | $220.00 (2.6% + $0.15 x 80) | $279.00 |
| Jane | Practice | $79 | $216.00 (2.6% + $0.10 x 80) | $295.00 |
| Jane | Thrive (packages) | $99 | $216.00 | $315.00 |
| GlossGenius | Gold, billed monthly | $56 | $208.00 (2.6%) | $264.00 |
| Square Appointments | Free | $0 | $220.00 (2.6% + $0.15 x 80) | $220.00 |
| ClinicSense | Standard (over 20 appointments) | $69 | Not on the page we checked | n/a |
| Noterro | Plus, or Max for packages | $55 or $77 | Not on the page we checked | n/a |
| Vagaro | One calendar plus Forms | $40 | Sources conflict | n/a |
Sources for the rates: MassageBook and Jane (vendor pages), Square, and GlossGenius (Square and GlossGenius pages accessed October 12, 2026). Vagaro's rates conflict: a June 2026 competitor breakdown lists keyed-in cards at 3.5% + $0.30, and an older TechRadar review lists 3.5% + $0.15.
No platform wins on price alone. Where a rate is published, card processing costs more than the software on every row except Primzy, where the client pays the card fee at checkout, so it is $0 to you and your payout is what you charged (less any commission). Ask every vendor, ours included, who pays the card fee and what rate applies to cards in person and to deposits taken online. A flat subscription changes the part that grows with your success: $40 stays $40 as your sessions grow, and bookings from your own shared link carry 0% commission.

#1: Primzy
Best for: Independent massage and bodywork pros who want booking, deposits, reminders, and light client notes at a flat price, and who do not need clinical charting.
What makes Primzy work for massage therapists
Deposits at booking. Our current live policy requires a 30% deposit. On a $100 session that is $30 to hold the table.
Reminders that go out on their own. SMS, email, and in-app notifications. Booking confirmations and day-before reminders are not metered, and 500 texts a month are included for mass texts and automations, with extra texts at $5 per 250, valid for the current month.
Private client notes and CSV exports. Notes stay private to you, and your booking history and reports export to CSV. There is no client-list export.
Your policies on the booking page. Custom service disclaimers show each client what you need them to read before they confirm, such as a cancellation policy or a pressure and contraindication notice. A disclaimer is a notice, not a health history. For a health history, attach an intake form to a service: after the booking is confirmed, the client answers your questions and e-signs a consent or waiver. Primzy makes no legal-compliance claim about these forms.
A cancellation waitlist, Google Calendar sync, and booking without a client account. When a slot opens, waitlisted clients are notified.
A flat, published price. $40 a month for one pro, with 0% commission on bookings through your own shared link. A team uses Salon mode: $60 a month plus $5 a month per employee seat, so $65 for an owner and one employee, or $70 for an owner and two. For a shared space, Salon Workspace adds multi-staff calendars, per-employee conflict detection, and inventory with usage logging and low-stock alerts for oils and linens.
Where we take a share. Primzy runs a local client discovery marketplace. A one-time 15% commission applies to a brand-new client's first booking found there, and bookings through your own shared link and every repeat booking are 0%. If you teach a live class, such as a self-care workshop, Primzy keeps 20% of class sales.
Career investment. Smart Analytics includes a receipt expense reader and a take-home simulator. The Professional Freedom Grant supports pros going independent.
The honest trade
Primzy has e-signed intake forms attached per service, but it does not market SOAP templates or body charts, and does not offer insurance billing. We do not list packages, memberships, or room and table assignment, so we do not claim them.
Use Primzy if:
- You are cash-pay and your records are light notes, not charting
- You want deposits and reminders without a percentage on your regulars
- You want a flat bill that does not grow as you book more
- You share space or add a second therapist and want a small per-seat price
#2: MassageBook
Best for: Solo therapists who want massage-specific booking, notes, and marketing in one tool.
Plans run Transition $20, Practice $59, and Clinic $99 per GetApp (September 2026) and a software vendor's blog checked September 22, 2026 (River'd). MassageBook's own pricing page shows AMTA-member prices of $21.75, $44.25, and $74.25 and contradicts itself elsewhere on the page, so confirm at checkout. Card-present payments are 2.6% + $0.15, and all other payments are 3.5% + $0.15 (vendor-sourced).
The catch: Intake forms and text reminders sit on Practice, not the entry plan. And the Trustpilot rating above deserves a read.
#3: ClinicSense
Best for: Full-time therapists who want notes, intake, packages, and wait lists in one plan.
Lite is $39 (up to 20 appointments a month), Standard is $69 (up to 200, with SMS reminders, No Show Guard, wait lists, packages, and gift cards), and Premium is $99, with a 14-day free trial (ClinicSense pricing, vendor-sourced). Capterra shows 4.8 out of 5 from 675 reviews.
The catch: The appointment caps push busy therapists to Standard, and a recent reviewer noted the price jump. TELUS Health eClaims may not fit a U.S. insurance workflow, so ask.
#4: Noterro
Best for: Therapists who want charting and optional insurance claims at a lower entry price.
Noterro's support center lists Core $33, Plus $55, and Max $77 (April 24, 2026), and Capterra shows $30, $50, and $70, so the sources conflict (Capterra, Noterro). Core includes SOAP notes and intake forms, Plus adds waitlists and text and voice reminders, and Max adds packages, memberships, and insurance claims.
The catch: Memberships and packages require the top tier, and one reviewer reported that a data backup required a support call.
#5: Jane
Best for: Clinic-style practices that bill insurance and work alongside other health practitioners.
Balance $59 (20 appointments a month), Practice $79, and Thrive $99 per Jane's USD pricing page, with processing at 2.85% + $0.25 online and 2.6% + $0.10 in person. Capterra shows 4.8 out of 5 from 536 reviews, and its FAQ lists Balance at $54, so the figures conflict.
The catch: Packages need Thrive and insurance billing is an add-on. Recent Capterra reviewers are mostly chiropractors, psychotherapists, and other clinicians, not solo massage therapists.
#6: Vagaro
Best for: Spa-style businesses that combine massage with other services and want one calendar system.
$30 a month for one calendar, or $23.99 for the first six months, with a free trial (confirm its length on Vagaro's page).
The catch: Add-ons, extra calendars, and card rates that sources report differently.
#7: Square Appointments
Best for: New therapists who want a free plan and do not need clinical records.
Free, Plus $49, and Premium $149 per location (Square pricing, accessed October 12, 2026). An esthetician asked for more charting on Capterra in November 2024:
"I'd like more charting abilities and notes for clients' services."
Source: Capterra, Square Appointments reviews, November 19, 2024.
The catch: It is not built for massage, and online payments run 3.3% + $0.30 on the free plan.
Free Booking Software for Massage Therapists
Square Appointments has a free plan with unlimited staff calendars and reminders; card processing fees apply. ClinicSense and Noterro offer 14-day free trials, and MassageBook offers a 30-day trial. Primzy has a 30-day free trial, no card needed, and beauty school students use Primzy free until they graduate (enrollment is self-reported), with every pro tool except text messaging, in any specialty.
When Primzy Is Not the Best Fit
We would rather you pick the right tool. Skip Primzy if any of these describe you.
You collect health history before the first visit. Our intake forms are e-signed and attached per service, and the client completes them after the booking is confirmed. We do not offer annotated body charts or revision tracking, and we make no compliance claim for the forms. If your intake needs those, use MassageBook, ClinicSense, Noterro, or Jane.
You chart every session. We offer private notes, not SOAP templates. Chart-heavy practices should use a purpose-built tool.
You bill insurance. We do not offer insurance billing. Jane, Noterro Max, and ClinicSense Standard are where to look, and you should check that each fits your payers.
HIPAA applies to you. We make no HIPAA claim. Check HHS's covered-entity test, talk to your attorney or state board, and get any vendor's HIPAA statement and a signed business associate agreement in writing.
You sell packages and memberships. We do not claim them. Jane Thrive, ClinicSense Standard, and Noterro Max do.
You run rooms and tables. MassageBook's Clinic tier lists room assignment. We offer multi-staff calendars and per-employee conflict detection, and we do not claim room scheduling.
You do not want a deposit. Our current live policy requires a 30% deposit at booking, and we do not offer card-on-file no-show fees.
You rely on a marketplace for new clients. Ours is a local discovery marketplace with a one-time 15% on a brand-new client's first booking found there. If another marketplace is sending you clients now, keep it while you move your regulars to your own link.
How to Choose
If your biggest issue is intake and health history: Pick a massage-specific tool with forms on the plan you will actually buy, then ask for its HIPAA statement and a signed business associate agreement if you need one.
If your biggest issue is SOAP notes: Compare ClinicSense, Noterro, and MassageBook Practice, and test the note export during the free trial.
If your biggest issue is insurance billing: Look at Jane with its billing add-on, Noterro Max, or ClinicSense Standard, and confirm the payers you bill.
If your biggest issue is packages and memberships: Price the tier that unlocks them, not the entry tier. That is Thrive, Max, or Standard.
If your biggest issue is a percentage of your sales: Look at Primzy, a flat $40 a month with 0% commission on your own link and card fees paid by your clients at checkout, and ask every vendor who pays its card fees and at what rate.
If your biggest issue is no-shows on long sessions: Collect a deposit at booking, keep reminders on, and turn on a cancellation waitlist.

Frequently asked questions
What is the best booking software for massage therapists?
It depends on whether you need clinical records. For intake forms, SOAP notes, and insurance billing, choose a massage-specific tool such as MassageBook, ClinicSense, Noterro, or Jane. For booking, deposits, reminders, and client notes with 0% commission on your own link, Primzy is a flat $40 a month, and it offers e-signed intake forms attached to a service, but not SOAP templates or insurance billing.
How much do MassageBook, ClinicSense, Noterro, and Jane cost in 2026?
ClinicSense lists $39, $69, and $99 a month on its pricing page (checked October 2026). Noterro's support center lists $33, $55, and $77 (April 24, 2026), while Capterra shows $30, $50, and $70. Jane lists $59, $79, and $99 on its pricing page, and MassageBook starts at $20 a month, with Practice listed at $59 by GetApp (September 2026).
Is massage booking software HIPAA compliant?
Several vendors say so, including ClinicSense and MassageBook on their own sites, but those are vendor claims you should verify. HHS says a health care provider is a HIPAA covered entity only if it transmits information electronically for a standard transaction, such as an insurance claim. Primzy makes no HIPAA compliance claim.
Does Primzy offer intake forms, SOAP notes, or insurance billing?
Partly. Primzy offers intake forms: the client answers your questions and e-signs a consent or waiver after the booking is confirmed, and the form is attached per service. It does not offer SOAP note templates or insurance billing. It also keeps private client notes and custom service disclaimers on the booking page, and your booking history exports to CSV. Primzy makes no compliance claim for these forms.
What do massage therapists complain about in booking software?
Trustpilot showed MassageBook at 1.9 out of 5 from 26 reviews in October 2026, including a May 2026 complaint about a doubled monthly fee. A Capterra reviewer said in April 2025 that downloading Noterro data for backup required a support call, and a ClinicSense reviewer noted a price jump in October 2026. These are individual reviews, and all three tools also have many satisfied users.
Is there free booking software for massage therapists?
Square Appointments has a free plan, with card processing fees applying, per Square's pricing page (accessed October 12, 2026). Primzy has a 30-day free trial, no card needed, and beauty school students use Primzy free until they graduate (enrollment is self-reported), with every pro feature except the Text Messaging suite, in any specialty.
